The State of New Hampshire, Department of Transportation, Commissioner's Office, has a full-time vacancy for an Executive Office Manager.

SUMMARY :

To manage, coordinate and provide administrative support required of the commissioners, directors, and executive office ancillary support groups, with primary responsibility to provide direct assistance to the Commissioner, Assistant Commissioner and Deputy Commissioner. Develops and implements administrative and office management procedures.

YOUR EXPERIENCE COUNTS: Each additional year of approved formal education may be substituted for one year of required work experience and/or each additional year of approved work experience may be substituted for one year of required formal education.

MINIMUM QUALIFICATIONS:

Education/Experience: Equivalent combination of 4 years of education and experience after completion of high school. Education and experience must be in accounting, business administration, public administration, office management, or a related field.

License/Certification: None

PREFERRED QUALIFICATIONS:

Proficiency in the Microsoft Office suite of programs including Microsoft Outlook, Word, Excel, and PowerPoint. Strong organizational skills, customer service skills, and attention to detail.

RESPONSIBILITIES :

Develops and coordinates appointments, meeting schedules, telephone communications, travel arrangements and conference registrations for the Commissioners and Executive Office personnel.

Interacts with the general public, state and federal officials on a continuing basis. Facilitates the coordination of constituent response activities to include receiving calls and emails from the public, reviewing and assigning incoming correspondence and monitoring for timely response, and preparing and presenting periodic reports. Maintains an on-going log of communications.

Implements records management program elements for the Commissioner’s Office by following policies and procedures established and approved by the agency. Ensures Commissioner’s Office records are listed in the designated file plan and are applied to the agency records schedule. Coordinates Commissioner signature and routing of signed contracts and documents through document management system. Assists with preparation and coordination of Right to Know Requests and Litigation Holds.

Performs a variety of administrative and communication functions for the Bureau including, but not limited to, scheduling of activity in conference rooms, preparation and signature processing of Governor and Council packages and communication of meeting results; distribution of electronic and hardcopy mail; maintenance of communications equipment inventory (phones and technology); and annual IFS inventory.

Assists the Communications Team in the management of communication protocols and initiatives to include maintaining SharePoint and website.
